Registration

We're thrilled to launch registration for the 2022 Glut1 Deficiency Scientific and Family Conference. The Scientific Sessions and the Family Sessions will be occurring back to back, but will be treated as two separate conferences for registration purposes. There are options for virtual attendance through access to recordings of the general session presentations.

Registration prices were set to increase on May 1st, but since there are shortages of hotel rooms and families may have to pay more for lodging, we've decided to keep the same pricing for the remainder of the registration period. ​Registration will close on July 1st and there will be no on-site registration available.
Refund and Cancellation Policy:
Cancellation requests received on or before July 1st are refundable subject to a $25 fee to cover administrative and processing costs. There will be no refunds for cancellation requests after July 1st with the exception of attendees who are unable to attend due to COVID-19 related illness or travel restrictions (see conference COVID-19 Guidelines for more information) or who have an emergency situation, which will be reviewed on a case by case basis. Refunds will not be provided for no-shows.

Cancellation and refund requests must be received in writing via email to gsteele@G1DFoundation.org.

We understand well the uncertainties around planning during these challenging times and will make every effort to be as flexible and understanding as possible. We also ask for the same considerations for the G1DF as we work to plan a successful event for our attendees and fulfill our hotel contract obligations.

Scientific Sessions:

Professional:  $249
Students and Post Docs:   $149
Glut1 Deficiency Parent or Patient:  $199
Virtual Access to General Session Recordings:  $49   (no breakouts, poster session, or core research network meeting)
*any wishing to attend both the scientific sessions and families sessions in person may register for both at a special discount rate of $349 - please contact the G1DF for instructions on how to get this special pricing
Scientific Sessions Registration

scientific registrations include:

  • all sessions
  • poster session
  • evening reception
Tuesday:
  • all sessions
  • breakfast and lunch
Wednesday:
  • core research network meeting (am)
  • beach party welcome reception with families (pm)​

Family Sessions:

Glut1 Deficiency Patient:  free
Adult Family Member:  $199
Siblings Under 18:  $99
Childcare Provider:  $99 with meals included, free with no meals included
Professional:  $249

Family Sessions Registration

adult family, professional, and patient registrations include:
  •  all presentations Thursday and Friday
  •  all social events Wednesday through Friday
  •  all exhibit areas Thursday and Friday
  •  all meals (breakfast and lunch on Thursday and Friday)
  •  activity room access Thursday and Friday
sibling regsitrations include:
  • activity room access
  • all social events
  • all exhibit areas
  • all meals (breakfast and lunch Thursday and Friday)
  • no access to conference presentations

childcare provider registrations include: 
  • activity room access
  • all social events
  • all exhibit areas
  • all meals (breakfast and lunch Thursday and Friday) OR no meals depending on registration option chosen
  • please note that childcare providers are those coming along to provide supervision/child care - they will have access to the social events and exhibits but not conference presentations

Conference Assistance:
The Glut1 Deficiency Foundation helps contribute a substantial amount of support for conference expenses that we do not pass along to attendees with the hopes that more families will be able to attend.  We also try hard to make the experience a very valuable one for those who come so that they feel it has been time and money well spent. However, we do know that it is still a big investment and the expenses involved can and do create barriers.

To help overcome some of those barriers, we've put together some resources that will hopefully help more families be able to find avenues of support that make attendance possible and easier. There are programs and opportunities out there, but knowing where to look can be hard.

We will also be offering a virtual attendance option for those who may not be able to attend the conference in person for any number of reasons.
​
  • Some states have special programs through their Councils on Developmental Disabilities that help cover some costs associated with going to educational conferences. Programs and funding varies, but it is worth exploring options.  Each state is mandated to have its own developmental disabilities council, so check to see if there are funds available.  Find more information and links to each state's agency here.  We suggest starting the process early, and please let us know if you apply for assistance and need any documentation to support the application.  We have a basic sample letter here if needed for some guidelines to get you started.

  • If you are on a Medicaid Waiver program, there is often funding available for educational events for caregivers and family members. Please check with your waiver coordinator for more details.
 
  • The ARC of the United States also offers conference assistance through some local chapter programs. 

  • Check with your local United Way, Kiwanis, Rotary Club, and Lions Club chapters about family support programs.

  • There are nonprofits who offer free medical flights that may also offer assistance for families to attend medical conferences. Typically these are for travel for medical appointments, but conferences for rare disease communities provide an opportunity to learn from other families and have the experts at your fingertips, so it is a unique form of medical care: PALS and Angel Flights

  • Ask family and friends or your place of worship to help support or sponsor your efforts to attend the conference.

  • Even if you aren’t able to find a grant to assist you, some of the expenses you incur in attending a medical conference may be  tax deductible if you itemize your medical expenses on your federal tax return.  See “medical conferences” here in this IRS document for current rules and guidelines.

  • The Glut1 Deficiency Foundation has a limited number of registration scholarships for the Family Sessions available on a first-come, first-served basis to those who have not previously received a registration waiver.  Please find more details and complete and submit the scholarship application here.
